Call recording and transcription

Atlas business customers are responsible for using Atlas in accordance with applicable laws and for providing any notices or obtaining any permissions or consents that may be required for their calls, recordings, transcripts, messages, or other customer communications.

Where required by applicable privacy law, Atlas relies on consent or another lawful basis to collect, use, or disclose personal information for the purposes described in this Privacy Policy.
Businesses using Atlas may provide personal information about their own customers and callers to Atlas. Those businesses are responsible for ensuring that they have the authority to provide that information to Atlas and for providing any required notices or obtaining any required consent from their customers.
Where consent is required, an individual may be able to withdraw consent, subject to legal, contractual, or operational restrictions. Withdrawal of consent may affect Atlas's ability to provide certain services.
Service providers
Atlas uses third-party service providers to operate parts of the service. These providers may process information on behalf of Atlas as necessary to provide their services.
- Supabase for authentication, database, and related backend services
- Twilio for telephone numbers, calling infrastructure, and SMS communication
- Retell AI for digital receptionist, call processing, recording, transcription, and related voice functionality
- Stripe for subscription and payment processing
- Vercel for website and application hosting
Atlas does not sell personal information to these service providers. Service providers may maintain their own records, logs, backups, or other information in accordance with their contractual obligations, legal requirements, security practices, and applicable retention policies.
International and cross-border processing
Atlas serves businesses in Canada and the United States and uses service providers that may process or store information in Canada, the United States, or other jurisdictions where those providers operate.
As a result, personal information may be subject to the laws of jurisdictions outside the location where it was originally collected and may be accessible to courts, law enforcement, or regulatory authorities where permitted by applicable law.
Payments
Payment card information is processed by Stripe. Atlas does not directly store full payment card numbers. Atlas may retain information relating to subscription status, Stripe customer identifiers, subscription identifiers, and billing status as necessary to administer an Atlas account.
Data sharing and sale
Atlas does not sell personal information.
We may disclose information to service providers when necessary to operate Atlas, when directed by an Atlas business customer, when reasonably necessary to protect Atlas, its customers, or others, in connection with a business transaction where permitted by law, or where disclosure is required or permitted by applicable law.
Data retention
Atlas retains personal information only for as long as reasonably necessary to provide the service, fulfill the purposes described in this Privacy Policy, maintain legitimate business records, resolve disputes, enforce agreements, protect the service, and comply with applicable legal obligations.
Atlas currently configures Retell call data, including stored call recordings and related call data, with a retention period of up to 365 days. After the applicable retention period, provider-stored call data may no longer be available through Atlas.
Other Atlas account information, such as customer records, messages, call metadata, summaries, and account settings, may be retained while the Atlas business account remains active or for another period where reasonably necessary for the purposes described above.
Certain information may remain temporarily in backups, security logs, billing systems, or third-party provider systems after account deletion where reasonably necessary for security, fraud prevention, legal compliance, accounting, backup integrity, or other legitimate purposes.
Account deletion
Atlas organization owners can initiate deletion of their Atlas account through the account settings available in the application.
When an Atlas organization is deleted, Atlas is designed to delete the organization's associated Atlas database records, including its customers, calls, messages, notes, receptionist settings, and organization memberships. Atlas also disconnects the organization's dedicated receptionist resources and removes the account login.
Account deletion may not immediately remove every record held by third-party providers. Certain records may remain for a limited period where required for legal, billing, security, backup, fraud-prevention, or provider retention purposes.
Access and correction
Depending on applicable law, individuals may have the right to request information about personal information Atlas holds about them, request access to that information, or request that inaccurate or incomplete information be corrected.
To make a privacy access or correction request, contact reid@atlasdigitalreception.com. Atlas may need to verify the identity and authority of the person making the request before providing access or making changes.
Security
Atlas uses reasonable administrative, technical, and organizational safeguards intended to protect personal information against unauthorized access, use, disclosure, alteration, loss, or destruction.
Access to Atlas data is restricted through account authentication and organization-based access controls. However, no online service, transmission method, or storage system can guarantee absolute security.
Privacy and security incidents
Atlas maintains procedures for assessing and responding to suspected privacy or security incidents. Where required by applicable law, Atlas will take appropriate steps regarding notification, reporting, recordkeeping, and remediation.
Artificial intelligence
Atlas uses third-party artificial intelligence and voice technology as part of the digital receptionist service, including processing customer conversations, creating transcripts, and generating call-related information.
Atlas does not currently operate a proprietary artificial intelligence model that is trained using customer calls, messages, or customer records. Third-party providers may process information in accordance with their applicable agreements, service settings, and privacy practices.
Business use
Atlas is designed primarily for businesses and business communication. Atlas customers are responsible for using the service in accordance with applicable privacy, recording, telecommunications, messaging, and other laws that apply to their business and their customers.
Privacy complaints and questions
Individuals may contact Atlas with questions or concerns about our privacy practices or to challenge our handling of personal information. We will review privacy concerns and respond as appropriate under applicable law.
Depending on where an individual is located, they may also have the right to contact an applicable privacy or data protection authority.
Changes to this policy
We may update this Privacy Policy from time to time to reflect changes to Atlas, our service providers, our privacy practices, or applicable requirements. Updates will be posted on this page with a revised "Last updated" date.
